Seabeck Inbound Orientation

 

Date: September 10-12, 2010

 

For students hosted in Canada travel starts on Sept. 9th

 

Place: Seabeck Conference Center,

Seabeck, Washington USA

Check in:      September 10, 10:00AM

 

Transportation: Volunteer Drivers

 

Canadian Inbound Students:

 

Gordon Butt, Laraine Seller, Bill Ritchie and Dave White will be arranging the transportation for Canadian Inbound Students. Details to follow from Bill Ritchie.

 

Thursday, September 9, 2010:    We will be on the 3:00pm Coho ferry from Victoria to Port Angeles. Students must be at the Ferry by 1:30pm. We will spend Thursday night in a hotel in Port Angeles. 

Sunday, September, 12, 2010:    We will be on the 12:45pm Coho ferry back to Victoria. Students will be returning home that day.

 

Now for some reminders:

MAKE SURE each student has his/her necessary documents to cross the border.

Students need to have the name, address and cell phone number of their host family and YEO (also the person who will be picking them up if different from the other two).There are 17 Canadian Inbound students, however, there are a few still having visa challenges.

 

USA Inbound Students:

Port Angeles & Sequim may be able to ride with the Canadian students, if not please work with East Jefferson and Port Townsend area YEOs.  Contact Jayne Neu - 360-301-4101 regarding carpooling. Check in at Seabeck 9:30 AM Friday.  Please be on time!

 

Clubs South of Pierce County should plan to carpool and/or contact Maureen Considine - 360-352-9711. She may be able to help arrange carpools.

 

 Recommended grouping for carpools are:

·         Kelso (1), Woodland (1) = 2 students

·         Olympia (2), West Olympia (1), So. Puget Sound (1), Hawks Prairie (1), Shelton (1) =6

·         Lakewood (1), Tacoma 8 (3), Tacoma Narrows (1), Sumner (1) = 6 students

·         Gig Harbor (1), Port Orchard (1), South Kitsap = 3 students

·         Bainbridge (1), Bremerton (1) East Bremerton (1), Poulsbo (1), Silverdale (1) = 5 students

·         East Jefferson (1), Port Angeles (1), Port Townsend (1), Sequim (1) and = 4 students

 

US students also need to have the name and the telephone numbers of their host family and any other person from their club who may be picking them up from the carpool pick up point.

This totals the 26 US Inbound Students. They should not rely on the district committee members to facilitate this, but rather see if we are available to assist/help provide transportation. 

 

Departure from Seabeck Conference Center:

Canadian Inbound Students:

We will reverse the trip on Sunday and will be on the 12:45pm Coho ferry to Victoria which arrives at approximately 2:15.  

USA Inbound Students:

Depart Seabeck Conference Center at 10:00AM. Students will travel in car pools to their host communities.

 

All Students Must Bring:  

·         Passports & Visas. US students bring DS2019/J-1 forms

·         Travel Permission formed signed by parents (not host parents)

·         Insurance cards or documents

·         Pins & Business cardsto exchange

·         3 days change of clothes

·         Rotary jackets are not required. Bring them if you wish to put new pins on them.            

·         Light weight jacket (rain proof) and sweat shirt

·         Swim suit or shorts and shirt that can get wet

·         Camera with name tag attached

·         Overnight bathroom supplies (tooth brush, etc.)             

·         Special talent for a talent show: (music, dance, juggling, gymnastics, comedy, improv,etc)

·          

·        PLEASE DO NOT BRING CELL PHONES or LAPTOP COMPUTERS!

 

Bedding, towels, face cloths and soap is supplied by Seabeck Conference Center

 

This is our opportunity to make sure that all of their documents are in order.  Please be sure that they bring with them all of the listed documents, even though the US hosted students are not crossing any border.

 

Please also have the student pack lightly.  We want to be able to get as many students as possible into the car pool vehicles.  The weekend is not a fashion show!

 

Cost:  $350. 00 CDN or US - Expenses are to be paid by your host club. Ferry, 1 night hotel for Canadians and meals and lodging while at Seabeck included.
